Receive McKesson invoices in Kroll automatically
Turn on electronic receiving for McKesson in Kroll once, and each delivery reaches Kroll's on-hand and NarcCount with nothing typed by hand and nothing counted twice.
With electronic receiving, Kroll downloads each McKesson invoice and you receive it with one button. Kroll's on-hand goes up by exactly what was invoiced, and each night NarcCount reads every invoice Kroll received, by its invoice number.
Set it up once
- In Kroll, open Utilities, then Drug Ordering, then Edit Vendor List, and open McKesson. Tick Active and check your account number is in Customer #.
- General tab: Remote Type, server, user name and password come from McKesson. If Kroll already downloads McKesson invoices, this part is done. If not, call McKesson: they set the same thing up on their end.
- Receiving tab: set Electronic Receiving to McKesson.
- On the same tab, set Default Action when PO not found to Treat like non-PO receive. An order placed in PharmaClik, McKesson's ordering site, has no Kroll PO, and this still adds it to on-hand. Skip PO and Treat as no stock received both leave on-hand unchanged.
- Under File, Configuration, Store, Order, turn on Perform Inventory Adjustment. Without it, receiving changes nothing.
Your first day
Kroll may download months of old invoices the first time. Don't receive those: they would add old stock to today's on-hand. Receive only the invoices from your start day on.
Every day
- After the delivery, open Utilities, Drug Ordering, Communicate with, and choose McKesson. Kroll fetches the new invoices.
- Check the quantities against the delivery, tick today's invoices and process them. At End of Activities, press Finish.
- Never add the same delivery to on-hand by hand as well. Typed in, then received from its invoice, it is counted twice.
